These Terms and Conditions apply to bookings and services provided by Car Rental Nepal. By making a booking, you confirm that you have read, understood, and agreed to these terms.
Definitions
- Car Rental Nepal: Refers to Car Rental Nepal, the service provider.
- Customer: The person or organization making the booking and responsible for the booking.
- Passenger: Any person traveling in the vehicle under the booking.
Booking & Payment
- Bookings can be made online, by phone, WhatsApp, or in person.
- A 30% advance payment may be required to confirm a booking, unless otherwise agreed.
- The remaining balance must be paid according to the payment terms provided at the time of booking.
- Payments may be made by cash, bank transfer, eSewa, PayPal, or other available payment methods.
- A booking is confirmed only after the required payment has been received and confirmation has been issued by Car Rental Nepal.
Cancellation Policy
- Cancellations made more than 48 hours before pickup are eligible for a full refund of the amount paid.
- Cancellations made within 48 hours of pickup may be subject to a 25% cancellation charge.
- Cancellations made on the day of service or after the scheduled pickup time are generally non-refundable.
- Any refund will be processed according to our refund policy.
Refund Policy
- Approved refunds are normally processed within 21 working days.
- Refunds are made to the original payment method where practical.
- Bank charges, payment processing fees, or other non-refundable transaction costs may be deducted where applicable.
- Refund eligibility may vary depending on the service, booking conditions, or circumstances of cancellation
Booking Changes
- Changes to the pickup date, time, route, or vehicle can generally be requested up to 24 hours before pickup, subject to availability.
- Changes requested within 24 hours may incur an additional charge.
- If a requested change increases the booking price, the difference will be payable by the customer.
- If a change reduces the booking price, any applicable refund will be handled according to our refund policy.
Rental Period & Additional Usage
- Vehicle rental is generally calculated by the hours or days specified in the confirmed booking.
- Additional hours, days, distance, or services beyond the agreed package may incur extra charges.
- Additional charges will be communicated where reasonably possible before the extra service is provided.
Vehicle & Driver Service
- All vehicles are provided with a professional driver. Car Rental Nepal does not offer self-drive rentals.
- Vehicles are allocated according to the confirmed booking and passenger/luggage requirements.
- The number of passengers and amount of luggage must not exceed the vehicle’s permitted capacity.
- Vehicle substitutions may occasionally be necessary due to maintenance, availability, or unforeseen circumstances. Where possible, we will provide a comparable or suitable alternative.
Included & Additional Costs
- The services included in your booking depend on the package and quotation provided at the time of reservation.
- Depending on the booking, the quoted price may include vehicle, professional driver, fuel, tolls, airport parking, and other specified services.
- Any costs not included in the confirmed quotation, such as additional sightseeing, extra waiting time, special requests, or additional travel outside the agreed itinerary, may be charged separately.
Airport Transfer Waiting Time
- For airport pickups, we monitor flight arrival times where flight details are provided and adjust the pickup accordingly.
- Up to 1 hour of complimentary waiting time after landing is provided for immigration, baggage collection, and normal arrival procedures.
- Additional waiting beyond the included period may be charged according to our applicable waiting-time rates.
Customer Responsibilities
Customers are expected to:
- Provide accurate booking, flight, pickup, and contact information.
- Ensure the number of passengers and luggage is suitable for the booked vehicle.
- Treat the vehicle and its equipment with reasonable care.
- Follow reasonable instructions from the driver regarding passenger safety.
- Pay any agreed additional charges arising from changes or services requested during the trip.
Customers may be responsible for costs resulting from intentional damage, misuse, or negligence by themselves or members of their group.
Driver Responsibilities
Our drivers are expected to:
- Operate the vehicle safely and in accordance with applicable traffic regulations.
- Provide courteous and professional service.
- Assist with luggage where reasonably required.
- Provide reasonable assistance with directions and local travel information.
Drivers are not responsible for personal belongings left unattended or inside the vehicle.
Insurance & Liability
- Vehicles are operated in accordance with applicable insurance and legal requirements in Nepal.
- Insurance coverage is subject to the applicable policy terms and conditions.
- Car Rental Nepal is not responsible for loss, theft, or damage to personal belongings.
- Customers may be responsible for damage resulting from deliberate misuse, negligence, or prohibited activities.
- In the event of an accident or vehicle breakdown, we will make reasonable efforts to arrange assistance or a suitable replacement vehicle, subject to availability and circumstances beyond our control.
Prohibited Activities
The following activities are not permitted:
- Smoking inside the vehicle.
- Carrying illegal goods or substances.
- Using the vehicle for any unlawful purpose.
- Exceeding the vehicle’s permitted passenger or luggage capacity.
- Any behavior that creates a safety risk for the driver, passengers, or vehicle.
Night Travel & Special Requests
Additional charges may apply to services requiring:
- Extended driver working hours or overnight travel.
- Additional sightseeing stops or itinerary changes.
- Special vehicle requirements.
- Additional waiting time.
- Travel outside the originally agreed route or service area.
Any applicable additional charges will be communicated to the customer where possible.
Delays & Unforeseen Circumstances
Car Rental Nepal is not responsible for delays caused by circumstances beyond our reasonable control, including severe weather, road closures, traffic accidents, natural disasters, strikes, civil disturbances, government restrictions, flight disruptions, or other unforeseen events.
We will make reasonable efforts to assist customers and minimize disruption whenever possible.
Personal Belongings
Passengers are responsible for their personal belongings throughout the journey. We recommend keeping valuables, passports, electronic devices, and important documents with you at all times.
Car Rental Nepal cannot accept responsibility for belongings lost, damaged, or left in a vehicle.
Acceptance of Terms
