Terms and Conditions

These terms and conditions govern the rental of vehicles from Car Rental Nepal. By renting a vehicle from us, you agree to abide by the following terms:

Below agency, renter, and passengers means; 

Agency: Car Rental Nepal

Renter: Individual or entity who is renting the vehicle from the agency. 

Passenger: Individuals traveling in the rented vehicle but not responsible for the rental agreement. 

  1. Booking and Payment 

  • Reservation: Reservations can be made online, via phone, or in person. A 50% advance payment is required to confirm the booking. 
  • Payment Methods: Payments can be made in cash, via bank transfer, or through digital platforms like eSewa, PayPal, etc. 

  1. Cancellation Policy: 

  • Cancellations made more than 48 hours before the scheduled pickup time will receive a full refund. 
  • Cancellations made within 48 hours of pickup will incur a 25% cancellation fee. 
  • No refunds will be provided for cancellations made on the day of service. 

  1. Refund Policy

  • Per our cancellation and refund policy, our agency will process your refund within 21 working days. 
  • No partial refund is applicable. 

  1. Modification Policy

  • Modifications to bookings (such as changes to pickup times, dates, or vehicle type) can be made up to 24 hours before the scheduled pickup time without additional fees. 
  • Modifications requested within 24 hours of the pickup time may incur a fee of up to 10% of the total rental cost, depending on availability. 
  • Any difference will be refunded according to our refund policy if a modification results in a lower rental cost. 

  1. Vehicle Rental Period

  • Minimum Rental Period: The minimum rental period is one day (24 hours).
  • Overtime Charges: If the rental period exceeds the agreed duration, overtime charges will apply as per our standard hourly rates. 

  1. Vehicle Use 

  • Driver Provided: All rentals include a professional driver. 
  • Authorized Use: The rented vehicle will only be used for the agreed purpose (e.g., personal travel, business trips, tours). Unauthorized use (e.g., off-road driving, illegal activities) is prohibited. 
  • Passenger Limit: The number of passengers must not exceed the vehicle's seating capacity. 

  1. Renter's Responsibilities 

  • Fuel Costs: The renter is responsible for fuel expenses during the rental period unless otherwise agreed upon in advance. 
  • Toll Fees and Parking Charges: The renter must bear any toll fees, parking charges, or other road-related expenses incurred during the trip.
  • Care of Vehicle: Renters must ensure that passengers do not damage or misuse the vehicle. 

(fuel costs are included in package or renter have to pay extra)

  1. Driver Rensposibilities

The driver provided by the agency will:

  • Operate the vehicle safely and professionally. 
  • Follow all traffic rules and regulations. 
  • Assist passengers with luggage and directions as needed. 

Note: Drivers are not responsible for personal items left in the vehicle. 

  1. Insurance and Liability

  • Insurance Coverage: The agency provides basic insurance coverage for accidents involving third parties. However: 
  • Damage caused by negligence or misuse of the vehicle by passengers will be charged to the client. 
  • Loss or theft of personal belongings is not covered under insurance. 
  • Accidents and Breakdowns: In case of an accident or mechanical breakdown: 
  • The agency will provide a replacement vehicle if available. 
  • Renters are required to cooperate with authorities if necessary. 

  1. Prohibited Activities

The following activities are strictly prohibited during the rental period:

  • Smoking inside the vehicle. 
  • Carrying illegal goods or substances. 
  • Overloading passengers or luggage beyond permitted limits. 

  1. Additional Charges

  • Night Allowance for Drivers: If travel extends beyond 8 PM, an additional night allowance for the driver will be charged as per our policy. 
  • Extra Services: Additional charges may apply for air conditioning usage, Wi-Fi access, or special requests (e.g., sightseeing tours). 

  1. Additional Usage Policy

  • Extra policy: if the travel exceeds the booked package, then the renter must billed for additional usage. Additional cost per hour or day. 
  • Airport transfer: waiting time, if there any, extra charges?

  1. Agreement

By confirming your booking with our agency, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
